Booking and Intake Forms: When you book a service or complete an intake form, House of Soul Alchemy LLC collects the following information depending on the service selected:
All services collect: full name, pronouns, email address, reason for the appointment, and how you heard about House of Soul Alchemy LLC.
Reiki services additionally collect: prior experience with Reiki or energy healing, session goal, any information the practitioner should be aware of including health concerns, current pain, areas of tension, emotional imbalance, physical discomfort, and any specific questions for the session.
Tarot services additionally collect: prior experience with Tarot, primary concern and or question, and any specific questions for the reading.
Communications: House of Soul Alchemy LLC collects and retains information shared through email, text message, and Zoom communications related to your booking and service delivery. This includes confirmation emails and texts sent prior to appointments, and recordings.
3. How We Use Your Information: The personal information collected by House of Soul Alchemy LLC is used solely for the following purposes:
To deliver the service you have booked in a personalized and accurate manner. To communicate with you regarding your booking. To send confirmation emails and appointment reminders via email and text message. To facilitate rescheduling requests submitted at least 24 hours before the scheduled appointment time. To request reviews of services following delivery. To improve the quality of services offered. To analyze website traffic and booking patterns through Google Analytics. To contact you regarding future offerings if you have opted in to marketing communications.
4. How We Store Your Information:
Intake Form Information: Intake form information submitted through the booking process is collected and stored within Acuity Scheduling, a third party platform owned by Squarespace Inc. House of Soul Alchemy LLC accesses this information solely for the purpose of delivering your requested service. This information is handled in accordance with both the House of Soul Alchemy LLC Privacy Policy and Acuity Scheduling's privacy practices. Clients are encouraged to review Acuity Scheduling's privacy policy for information about how their data is stored and protected on that platform.
Intake form information is retained within Acuity Scheduling for the duration of your client relationship with House of Soul Alchemy LLC. Information for clients who have not made an additional booking within two years may be deleted upon request.
Recordings: Session recordings are stored temporarily and deleted following delivery to the client within 24 hours of the appointment unless otherwise agreed upon by both parties.
Rescheduling Communications: Any communications related to rescheduling requests are retained only for the duration of the booking and deleted following the completion of the rescheduled service.
Payment Information: House of Soul Alchemy LLC does not collect or store payment information directly. All payment processing is handled securely by Squarespace's payment processor. 5. Third Party Services: House of Soul Alchemy LLC uses the following third party platforms in the delivery of its services. Each platform operates under its own privacy policy and data practices:
Squarespace is used for website hosting, booking, and payment processing. Google Analytics is used for website traffic analysis. Zoom is used for appointments. Instagram, TikTok, YouTube, and Pinterest are used for content sharing and brand presence. Mailchimp may be used in the future for email marketing communications for clients who have opted in. Acuity Scheduling is used for appointment booking, scheduling, and intake form collection.
www.astro.com is used to generate birth charts and your information will be deleted from the site at the completion of your service.
House of Soul Alchemy LLC is not responsible for the privacy practices of any third party platform. We encourage you to review the privacy policies of each platform directly.
6. Email Marketing: House of Soul Alchemy LLC does not currently send marketing emails. In the future, an opt in email list may be made available through the website. Participation will be entirely voluntary. If you choose to opt in you may unsubscribe at any time. Your email address will never be sold or shared with any third party.
